Setting Up Your First Client Pipeline in GoHighLevel
Time to build it. This is a hands-on walkthrough of your first client pipeline in GoHighLevel — the platform most of our agency readers land on for the sub-account structure covered in the last lesson.
Create a sub-account for the client
Create a new sub-account, separate from your agency's main account and every other client's data. Name it after the client's business, not a project codename — you'll be switching between sub-accounts constantly.
Define the pipeline stages
Set up these five stages to start:
- New Lead — just came in, not yet contacted
- Contacted — first outreach sent or call made
- Qualified — confirmed as a real, interested prospect
- Proposal / Quote Sent
- Won or Lost
Don't add ten granular stages on day one. Start simple and expand only when a stage genuinely doesn't capture something.
Add the fields that actually matter
Beyond name, email, and phone, add custom fields for whatever this client's business needs to track — service requested, property address, appointment date, lead source. Keep it to fields the team will actually fill in.
Connect your lead sources
Point the client's lead sources — website forms, a Facebook lead ad, a phone number, a chat widget — into this pipeline so new leads land in "New Lead" automatically. That's what turns the pipeline from a tracking tool into a system that captures leads on its own.
Set one basic automation before you move on
Set one simple rule now, before the deeper automation in the next lesson: when a lead is tagged "Contacted," move it to the Contacted stage automatically.
